A Qualified Location Lead is a location lead that has requested vending from us, spoken with one of our team members and gone through our quality control process.

After you purchase a location lead you will be provided with all of the contact information for the location as well as the confidential notes. This will be viewable immediately after purchase and also emailed to you within 30 seconds or so. The confidential notes will tell you the next steps and who you need to contact.

The location is also notified immediately via email with your contact information.

You need to call & email the location introducing yourself immediately after purchase. *If it's outside of business hours, send an introductory email and then call immediately once inside normal business hours.

If you're unable to make initial contact with a location in the first 7 days please email support@vendingexchange.com immediately so we can follow up with them. You must notify us within 7 days so we can attempt to resolve the issue.

Once we are notified, we will attempt to reach our contact at the location. We may need up to 10 days to complete this process although usually it's much quicker.

When we are able to reach them we will update you and assist you in getting in contact with them.

In the rare instance where a location is initially unresponsive to you and we are unable to reach them within 10 days of you notifying us, we will refund the lead purchase price in full. In order to qualify for a refund you must notify us within 7 days of purchasing the lead.

While placement is the expected outcome, you will have to negotiate a sale. You are purchasing a qualified location lead and not a guaranteed placement at the location. Vending Exchange does not provide refunds if you are unable to successfully secure a deal with the location.

We only offer refunds in the following cases:

- A location is initially unresponsive. An initially unresponsive location is one that you can not make initial contact with. You must notify us within 7 days of purchasing the lead. We may need up to 10 days to attempt to make contact with the location. If we are unsuccessful you would qualify for a full refund.

- Upon initial contact you find out the location is under contract or already found another vendor. You must notify us within 7 days of purchasing the lead. We may need up to 10 days to confirm with the location.

- Upon initial contact the location changed their mind and doesn't want vending. You must notify us within 7 days of purchasing the lead. We may need up to 10 days to confirm with the location.


Here are some examples of issues that do not qualify for a refund:

- They don't like the equipment that you offer.
- You can't agree on product pricing.
- They are having difficulty getting their prior vendor's machines removed.
- There is an issue with delivery of equipment.
- The dimensions of your equipment won't fit their location.
- After proposing services the location decides to use another vending service.
- Traffic estimates are less than expected.
- They have become unresponsive / are ignoring your communication.
- They decide not to use your services for another reason.
- They decide not to switch vending companies.
- You're unable to provide service to them.

We have a proposal builder built into the Vending Exchange platform with pre-built templates for you to use.

Due to our limited team, Vending Exchange does not provide additional assistance in communication or negotiation with the location after initial contact has been made.

We do not have any additional access to or negotiating power with the location than you, and have found that the best outcomes possible will always be brokered directly between you and the location contact, once direct communication has started.

Unless you have the right moving truck and manpower, we highly suggest hiring a company to deliver your equipment.

There are companies that specialize in delivering vending machines in most major cities but most moving companies can assist in moving vending machines.

Rates vary but typical ranges from $100 - $200 per machine.

Traffic to locations can vary greatly depending on the day of week, time of day or season. Don't let a single visit to a location cloud your judgement on how the location will perform.

Locations give us traffic estimates but they are just that, estimates. The only true way to know how a location will do is to put in equipment.

Subsidized pricing is GREAT! This is one of the best things you can hear as an operator. This means that the location is going to subsidize the cost of the products.

This is best illustrated by an example:

Let's say normally you would charge $1 for an item but the location wants to subsidize 50% of the cost. You would price the item at only 50 cents in the machine. Then, you would invoice the location for the other 50 cents. This is typically done on a monthly basis.

So if your machine receipts total $500 for the month, then you would invoice the company for the other $500 that they owe you. Subsidized pricing can 2-3X sales because employees are far more apt to purchase product at below market prices.

Another thing some locations may want to do is Free Vend. This is where all the items in the machine are set to $0 and you simply invoice the company each month for what was sold. This is rare but these machines can do HUGE volume since it's no cost to the employees.

It is common for locations to require that you carry liability insurance. If you contact your local car insurance agent, they should be able to help you get a policy or point you in the right direction if they don't offer business insurance.

If a location requires insurance they will ask for a COI which is a "Certificate of Insurance" that you can show them. They will typically want to be named on the policy. This helps protect them in case there is an incident.

When a location reaches out to Vending Exchange to get vending service, we never mention commission unless they do. Commission is something that you shouldn't bring up unless the location does.

Sometimes locations will wait until you have an in person meeting to bring up the topic of commission. Here is what we suggest saying:

We can do commission but I want to be upfront with you, the only way we can do commission is by raising the prices. This is what every vending company does when they pay a commission whether they tell you or not.

Approximately 50% of the location leads on Vending Exchange are from locations that are not happy with their current vendor.

This can be for many reasons but the most common complaint we hear is that they can't get a hold of their current vendor or they have to constantly call them to get their machines stocked.

When a location is looking to switch vending companies, you need to be sure that they feel secure that you're going to provide better service than their previous company.

If a location tells you they've decided to stick with their current vending company, that is a great opportunity for you to ask them what you could have done better. These experiences will help you close deals in the future and is the best way to learn.

Be sure to keep lines of communication open with locations and always be fast to respond to them. If it takes you an entire day to respond to an email or phone call before you've installed equipment, a location will wonder what kind of service they're going to receive AFTER you've installed equipment.

The more you talk with a location and develop a rapport the better. If your contact person likes you and you have a good rapport with them then they are far more likely to assist you in closing the deal quickly.

When a location declines to use your services, the best thing you can do is try to get feedback from the location. This way you can learn what you can do better moving forward.

When a location becomes unresponsive, this is often their way of telling you that they're going in a different direction. Perhaps they didn't like the services you offered, product pricing, found another vendor, etc.

In situations where a location is ignoring your phone calls or emails, we suggest sending a non-intrusive email like this to garner feedback:

Hope all is well! It's been a while since we've heard from you. I hope it wasn't anything we did.

It could be that vending is just on hold or your contact got busy with work. Sending a message like this can sometimes help flesh out what is actually going on. In some cases you may be able to save the deal, in others, it may help you learn what you can do better moving forward.

You always want to be sure to measure the entryways and doorways of a location to ensure that you have or can get equipment that will fit.

In addition, you want to check any other hazards like steps or walkways that the equipment must navigate through.

If the location requires vending on an upper floor, ensure that the equipment will fit into the elevator or you have a means of getting it up the stairs. Some locations also have a freight elevator so be sure to ask about that.

Delivery issues are one of the most common reasons that operators fail to close accounts.

We suggest setting a delivery window and not confirming the exact drop off date until you are 100% sure the delivery company will be able to do it.

If you do set a date and are unable to meet that deadline, you need to be very up front with the location and apologize for the inconvenience.

This is a common problem and can take time. This can often be expedited by the location demanding that the previous vendor remove their equipment through repeated calls.

If the location is ok with it and has room, it may be a viable option to move your equipment next to the current vendor's until theirs are removed.

Product pricing is one of the things that we see most often killing deals. If a location is switching vending companies, they may have become accustomed with the pricing that the previous vendor was offering.

If a location has never had vending services before or doesn't currently have it, they may not know what fair pricing is.

You always want to be fair on your pricing and be sure to explain why pricing is the way it is. Some things you can mention to help mitigate pricing issues: Inflation, Fuel, Servicing Costs, Credit Card fees, etc.

You can also offer to lower prices if a location hits $X in sales per month. For example, if they are doing $1,000+ per month, then you're able to lower bottles of Coke by say 25 cents. This way they know you're really trying to accommodate them.

Some locations are more selective than others when it comes to the type of equipment they want in their location.

If a location doesn't like the look of your equipment, there are two options:

1. You can wrap your equipment in vinyl. This can completely change the look of vending equipment. And, it gives you the ability to customize the wrap for the location by adding their logo and colors to the equipment.

2. You can purchase new equipment to suit the location.
